Heartland Women's Healthcare is GROWING and looking to add an OBGYN Office Manager to our team! The successful candidate will communicate clearly and frequently with our team to ensure the highest level of care for our obstetrical and gynecological patients.
This is a full-time position with a growing and successful practice. We run an upbeat office with Physicians, Certified Nurse Midwives, and Nurse Practitioners.
We are looking for a qualified, full-time hub manager, needed to run our busy OB/GYN practices in Mt. Vernon and Centralia, IL. Medical office experience is necessary, with OB/GYN office experience preferred. Candidates should demonstrate excellent organizational skills and ability to perform well under stressful situations. Our position requires knowledge of healthcare systems operations. Ultimately, you should be able to ensure steady workflows and uninterrupted service in our medical facility.
Job Responsibilities:
- Supports company operations by maintaining office systems and supervision of 20+ support staff.
- Ensure operations run smoothly daily. This includes promoting positive patient experiences, reviews, team members job satisfaction, workplace efficiency, shorter wait times, and completion of tasks as assigned.
- Maximize profits and minimize expenses by overseeing P&L.
- Maintains office services by organizing office operations and procedures, preparing payroll, reviewing, and approving supply requisitions, and assigning and monitoring clerical functions.
- Provides historical reference by defining procedures for retention, protection, retrieval, transfer, and disposal of records.
- Maintains office efficiency by planning and implementing office systems, layouts, and equipment procurement.
- Designs and implements office policies by establishing standards and procedures, measuring results against standards, and making necessary adjustments.
- Completes operational requirements by scheduling and assigning employees, following up on work results.
- Maintains office staff by recruiting, selecting, orienting, and training employees. Provide support and direction to enhance performance, skills, and knowledge of the practice team within the practice(s). This includes ensuring employees receive proper on-boarding, training, celebrating high performance, creating improvement opportunity plans, and monitoring each team member's performance.
- Troubleshoot problems such as non-working equipment, patient complaints, inefficiencies, workplace conflicts, and other items that may disrupt operations.
- Maintains office staff job results by coaching, counseling, and disciplining employees, and planning, monitoring, and appraising job results.
- Coordinate regular team meetings and send minutes from meetings to the team.
- Work with various departments on improvement initiatives.
- Contributes to team effort by accomplishing related results as needed.

Education, Experience, and Licensing Requirements:
- Bachelor’s Degree in Healthcare Management preferred but will consider High school diploma, GED, or equivalent
- Two+ years’ experience in an office setting manager
- Proficient with EMR software
- Excellent customer service and leadership experience
